Choose n8n if you have some technical skill, run long or high-volume AI workflows, or need to keep data on your own infrastructure, because n8n can be self-hosted for free and bills per workflow run instead of per step. Pricing compared: tasks vs executions

The billing model decides your bill more than the sticker price. Zapier counts every successful action step as a task; the trigger that starts a Zap generally does not count. n8n counts one execution each time a workflow runs, whether it has 3 nodes or 30.

Zapier’s AI products have their own plans: Zapier Agents is free for 400 activities a month or $33.33 a month ($400 a year) for 1,500 activities, and Zapier Chatbots is free for 2 bots or $13.33 a month ($160 a year) for 5 bots. Worked example 1: a small, simple automation

A freelancer saves new form leads to a Google Sheet: one trigger and one action, 300 times a month. On Zapier that is 300 tasks, which is over the Free plan’s 100, so Professional from $19.99 a month. On n8n Cloud it is 300 executions on Starter at EUR 20 a month. The price is roughly the same, and Zapier is faster to set up. Winner: Zapier.

Worked example 2: an AI email triage workflow

An agency runs a workflow on every incoming support email: (1) trigger, then six actions: (2) clean the text, (3) classify it with an AI model, (4) look up the client in the CRM, (5) draft a reply with AI, (6) post to Slack, (7) log it in a sheet. It runs 3,000 times a month.

  • Zapier: 6 actions x 3,000 runs = 18,000 tasks a month, far above Professional’s reported base of about 750 tasks, so you need a much higher task tier.
  • n8n Cloud: 3,000 executions, which is over Starter’s 2,500 but fits Pro at EUR 50 a month (annual) with room to grow to 10,000.
  • n8n self-hosted: no license fee; you pay only for your server.

Add a step and Zapier usage grows by another 3,000 tasks; n8n stays at 3,000 executions. Winner: n8n, by a wide margin.

Save money: On either platform, put filters before the AI steps. If a third of emails are newsletters or spam, filtering them first cuts tasks on Zapier and AI token costs on both tools.

Remember that AI model costs are separate when you use your own API key. At GPT-6 Luna’s $0.10 input and $0.50 output per 1M tokens, 3,000 runs with about 2,000 input and 500 output tokens each (6M input, 1.5M output) cost $0.60 + $0.75 = $1.35 a month. Self-hosted vs no-code: the real trade-off

Self-hosting n8n is free in license terms, not in effort. Before you choose it to save money, be honest about what you take on.

What self-hosting n8n involves

  • A server: a cloud VPS or an office machine running Docker. n8n’s docs show a basic Docker command that serves the editor on port 5678, and recommend Docker Compose for production setups.
  • Updates: n8n ships new versions often. You test and apply them, or risk running outdated, vulnerable software.
  • Backups: your workflows, credentials and execution data live in a database you must back up.
  • Security: HTTPS, strong logins, firewall rules and keeping webhook URLs private are your job. A public n8n instance holds API keys to many of your apps, so it is a valuable target.
  • Uptime: if the server goes down at night, workflows stop until someone fixes it.

What Zapier handles for you

Zapier runs the infrastructure, updates, scaling and connector maintenance. When an app changes its API, Zapier updates the integration. For a team without a developer, that peace of mind is often worth the higher per-task cost.

Watch out: If nobody on your team is comfortable maintaining a Linux server, choose n8n Cloud rather than self-hosting, or stay with Zapier. A neglected self-hosted instance is a security risk, not a saving.

n8n: deepest AI building blocks

n8n builds on LangChain concepts. Its AI Agent node connects to chat model sub-nodes (OpenAI, Anthropic, Ollama and others), memory sub-nodes such as Simple Memory, tools such as Call n8n Workflow Tool and Custom Code Tool, plus output parsers and vector stores for retrieval. Zapier has the largest library of ready-made connectors, so most SaaS apps work out of the box. n8n has fewer prebuilt nodes, but its HTTP Request and code nodes connect to almost any API if you can read documentation.

Our verdict

Zapier is the better choice for non-technical teams who value speed and zero maintenance, and for simple automations it costs about the same as n8n. n8n is the better choice once workflows get long, volumes get high, AI agents get serious, or data has to stay on your own servers. Our recommendation: start on Zapier Free or an n8n Cloud trial, rebuild your single most important workflow on both, and compare the monthly cost and setup time before you commit.
